As the Office Manager, you will play a pivotal role in overseeing the daily administrative and operational functions of the firm. You will ensure that office services are efficient, client interactions are professional, and internal processes are streamlined to support the firm's objectives.
The ideal candidate will have a strong background in office administration within the financial services sector, excellent organizational skills, and a proactive approach to problem-solving.
Key Responsibilities:- Office Services Management: Contribute to planning and reviewing office services, setting priorities, and establishing service standards to enhance operational efficiency.
- Resource Allocation: Allocate human resources, office space, and equipment effectively to meet the firm's operational requirements.
- Staff Supervision: Assign tasks to staff, monitor performance, and provide guidance to ensure high-quality service delivery.
- Records Management: Oversee the maintenance of accurate records and accounts, ensuring compliance with regulatory standards.
- Professional Liaison: Collaborate with accountants, financial planners, and other professionals to coordinate office activities and resolve issues promptly.
- Equipment and Supplies Maintenance: Ensure that office equipment is functional, and supplies are adequately stocked to support daily operations.
- Compliance Oversight: Ensure adherence to occupational health and safety regulations, fostering a safe working environment.
- Regulatory Compliance: Ensure that office operations comply with relevant government legislation, policies, and procedures.
- Personnel Coordination: Manage activities related to hiring, promotions, performance evaluations, payroll processing, training, and supervision of staff.
- Client Interaction: Maintain a professional front office environment, greeting clients, managing phone communications, and scheduling appointments.
- Financial Administration: Assist with bookkeeping tasks, including accounts payable and receivable, and support the preparation of financial reports.
- Process Improvement: Identify opportunities to streamline administrative procedures and implement best practices to enhance office efficiency.
- Education: Diploma in Business Administration, Management, or a related field is preferred.
- Experience: Minimum of one year of experience in office management, preferably within the financial services or accounting industry.
- Technical Skills: Proficiency in Microsoft Office Suite and familiarity with accounting software; experience with QuickBooks is advantageous.
- Communication Skills: Excellent verbal and written communication abilities.
