We are currently seeking a meticulous and proactive Contracts Administrator.
Duties include (but are not limited to):
- Defining and establishing contract terms and conditions: Including service levels, fees, and financial obligations, and negotiating variations to contracts.
- Coordinating with external parties and internal departments: Ensuring contract deadlines and requirements are met and resolving any related issues.
- Overseeing contract paperwork: Managing all documentation to ensure contracts are valid, up-to-date, and compliant with internal standards.
- Ensuring regulatory compliance: Reviewing and making necessary revisions to comply with relevant regulations.
- Conducting contract analysis: Providing strategic advice to management, implementing decisions, and managing associated paperwork.
- Preparing tender documents: Negotiating agreements with customers or suppliers, and performing industry-relevant research.
- Negotiating terms and conditions: Ensuring favourable outcomes for the charity, including terms for rental premises.
- Informing stakeholders: Keeping relevant individuals within the organisation updated about changes in obligations.
- Preparing reports: Contributing to the annual report, preparing and reviewing submissions, and providing updates to stakeholders.
- Using inventory and information collection software: Using the charity's current software to analyse data and report findings clearly and concisely to management.
- Collaborating with teams: Working with Operations Manager, Finance Manager, Founders, and others to ensure goals are met.
- Identifying potential risks: Suggesting mitigation strategies and overseeing contractor work, reporting on variations to work orders.
Ideal Candidate Qualifications:
- At least three years of proven experience as a Contract Administrator or a similar role.
- Minimum Diploma level qualification in Law or Business Management.
- Ability to draft contracts according to business requirements.
- Strong understanding of contract management and industry regulations.
- High level of accuracy and attention to detail.
- Effective communication and organisational skills.
- Strong analytical abilities and experience in contract management software.
- Excellent interpersonal skills with the ability to interact well with staff, clients, suppliers, and the general public.
- Ability to work independently or as part of a team.
- Ability to thrive in a fast-paced environment and manage multiple tasks simultaneously.
- Strong problem-solving skills with attention to detail and an open mindset to grow and improve systems.
