Job Description
Key Responsibilities:
- Ad hoc Administration and Office Management:
- Manage daily office operations.
- Coordinate catering, stationery, and office supplies.
- Handle general office management tasks.
- Primary Point of Contact:
- Act as the main liaison for sales, engineering, and customer inquiries.
- Serve as the central communication hub between departments.
- Stakeholder Communication:
- Maintain communication with surgeons and key stakeholders.
- Ensure smooth information flow from manufacturing to commercial teams.
- Organisational Systems and Data Management:
- Coordinate IPS cases, production, and product throughout the entire case cycle.
- Schedule planning meetings with customers.
- Query production progress and plan priorities with customers and sales.
- Create and manage material master data and inspection data in SAP.
- Create and manage SAP orders and production orders.
- Ensure data completeness and requirements are met.
- Prepare data, including segmentation.
- Project Planning and Process Optimisation:
- Organise and optimise materials and processes.
- Plan and support projects.
- Create and maintain templates, work flow, and process documents.
- Create and maintain surgeon preferences.
- Communication and Relationship Management:
- Serve as the key contact for all stakeholder communication.
- Establish and maintain strong relationships with key customers.
- Maintain positive and cooperative relationships with the wider team.
- Compliance:
- Manage all CAPAs efficiently and timely.
The Successful Applicant
Ideal Candidate:
- Background:
- Experience as a case coordinator in a surgical practice is desirable.
- Administration experience in the medical devices sector is desirable.
- Minimum 3 years of experience in a similar role.
- Skills:
- Highly organised to ensure the efficient running of office operations.
- A willingness to learn and adapt to new challenges.
- Strong communications skills - written and verbal.
- Strong time management.
- Strong problem-solving skills.
- High attention to detail.
- Eligibility:
- Applicants must be Australian citizens or permanent residents.
