With a growing team and an exciting line-up of projects coming up, we are looking for an experienced Project Administrator to join the MPA team.
Your role
We are seeking to fill a vacant full time position as Project Administrator. You will report to the Project Director to be part of an experienced and knowledgeable team, supporting the delivery of small to medium size fitout projects for a range of clients.
You will be responsible for the following:- Establish, upload, and maintain physical and electronic project commencement folders and shared folders.
- Assist in the preparation of project commencement management documents such as the dilapidation reports, procurement schedules, or scope statement.
- Prepare, maintain, and issue head contract, subcontracts, and supplier documents.
- Facilitate and process payments including deposit payments and creditor claims and retention invoices.
- Prepare and compile handover documentation and assist with defect closeouts.
- Monitor the progress of program initiatives and update program documentation.
- Prepare project status reports for Project Managers and stakeholders, regularly monitoring and updating the program.
- Schedule, attend, and take minutes for site, project and stakeholder meetings. Facilitate communication between the Project Manager and stakeholders throughout the project life cycle.
- Monitor program notifications for awareness and adherence of contractual obligations.
- Execute required commercial administrative tasks throughout the project life-cycle.
- Support Project Managers to implement risk management strategies.
About you
Ideally coming from a similar role in the Construction industry or an associate environment, you will have a minimum of 2 years experience in construction. You will have demonstrated experience in similar tasks outlined above and have good working knowledge of Microsoft suite of programs.A degree in Construction Management or similar is also required
You will be highly organised with strong attention to detail and good communication skills. You will be coordinating a variety of activities to ensure successful project delivery. Systems experience with Vista and Procore would be advantageous but not essential.
