The Office Manager at Fairfield City Mowers and Chainsaws is responsible to oversee and manage the operational activities and directing daily activities, resource planning, smooth operations, optimizing efficiency, and maintaining high levels of customer satisfaction.

Role of an Office Manager:
  • Stakeholder Management – Responsible to supervise and improve customer-oriented service standards and implement effective workplace policies regulating time, performance, and stress management of the work team to ensure a secure and conflict-free workplace environment.
  • Workshop – Responsible for the allocation of Repair Jobs, Timeline and Schedule creation, Parts and Inventory records, Data entry management, preparing pricing quotes for customers, handling enquiries via telecommunication and emails.
  • Lead and manage the service department, including staffing, training and performance management of service technicians.
  • Monitor and evaluate the work team’s performance, providing regular feedback, coaching and recognition to drive individual and team excellence.
  • Ensure timely and accurate completion of service requests, work orders and documentation, maintaining high attention to detail and quality.
  • Collaborate with other departments to develop and implement strategies to improve customer satisfaction, increase service efficiency and achieve business objectives.
  • Prepare and present regular reports to the management on service performance, key metrics and improvement initiatives.
  • Cash and Account management - Supplier payment allocation, Invoicing, Quotes, Account Receivables, Employees payroll, and BAS (Business Activity Statement) records.
  • Manage data collection for the evaluating the performance to achieve productivity targets, reduce operational cost, eliminate errors, and deliver excellent customer service.
  • Report on materials and inventory controls and conduct budget reviews and report cost plans to the management.
  • Maintain constant communication with the staff, and vendors to ensure proper operations of Fairfield City Mowers and Chainsaws.
  • Handle escalated customer inquiries, complaints, and service issues in a timely and effective manner.
Required skills and qualifications
  • Bachelor’s degree (or equivalent) in operations management, business administration, or related field
  • Minimum two years of proven success in an operations management role
  • Ability to build relationships with the internal and external stakeholders and building management team
  • Excellent communication skills
  • Excellent ability to delegate responsibilities while maintaining organizational control of office operations and customer service
  • Proficiency in conflict management and business negotiation processes.
Annual Salary: $75000 + Superannuation
