The role
This position offers a unique opportunity for an experienced EA or individual with music industry experience to be the supportive force that empowers our CEO. The candidate will work side by side with our CEO in our Albert Park office (shared with Level Two Music) and empower him by taking the lead on his administrative work and managing his schedule and communications.
The candidate will also build relationships with stakeholders inside and outside of DISCO and maintain open communication with the CEO to establish priorities for each day.
This will require an individual who is easygoing yet professional and able to work in a complex, rapidly changing environment. The successful candidate will be a highly organised, proactive problem solver with exceptional communication skills.
Some key tasks include:
• Manage professional and personal scheduling for CEO, including agendas, mail, email, phone calls, client management, and other company logistics
• Manage the CEO’s travel logistics and activities, including accommodations, transportation, and meals
• Provide administrative and office support, such as typing, dictation, spreadsheet creation, faxing, and maintenance of filing system and contacts database
• Maintain professionalism and strict confidentiality with the CEO
• Take minutes and record action items for follow-up
• Manage expense reconciliation and management for the CEO
• Act as the contact person for the CEO.
Requirements
• Music industry experience or proven experience as a Personal Assistant, Executive Assistant, or similar role supporting senior executives, ideally in the SaaS or music industry.
• Excellent verbal and written communication skills, with exceptional attention to detail.
• Discretion and the ability to handle confidential information with integrity.
• Ability to adapt to a fast-paced and dynamic work environment.
• Strong administrative skills with knowledge of MS Office and Google suite products
• Excellent organisational skills
• Flexibility and a willingness to learn about the music and saas industries
