Job Description: Contracts Administrator

As a Contracts Administrator at ESR Australia, you will efficiently and effectively manage the tendering and contract administration process for various projects. Collaborating closely with team members, you will ensure the successful delivery of key commercial objectives within the required timeframes.

Strong communication skills, self-motivation, and a commitment to meeting deadlines are essential for this role.

Key Responsibilities:

  • Administer and manage contracts for major and minor projects, maintaining effective communication with clients, contractors, and project teams.
  • Provide commercial leadership and guidance to project teams, ensuring alignment with contractual obligations and minimising risk.
  • Manage or support the management of contractual correspondence, notices, claims, and obligations for upstream (clients) and downstream (contractors) arrangements.
  • Oversee or assist with the implementation of contract management systems and procedures, including contract start-up and close-out activities.
  • Interpret contract terms, recommend strategies, and provide sound commercial advice.
  • Mitigate contractual risks by managing variations, extension of time claims, disruptions, liquidated damages, and provisional sums, ensuring maximum value to ESR Australia.
  • Develop and maintain documentation templates, central databases, and registers for project activities such as RFIs, EOTs, change requests, variations, and payment claims.
  • Coordinate tender packages, consultant fee proposals, and contractor agreements to ensure smooth project delivery.
  • Process payment claims and invoices in compliance with statutory and program requirements.
  • Assist with regulatory submissions and administrative tasks, including action matrices and meeting minutes.
  • Build strong working relationships within the project team and external stakeholders to facilitate seamless collaboration.

Requirements

Qualifications and Skills:

  • Bachelor’s degree in Engineering, Construction, or a related field, with a strong background in project delivery.
  • Excellent time management skills and the ability to manage multiple tasks effectively while meeting deadlines.
  • Comprehensive knowledge of engineering and building principles, including familiarity with the Building Code of Australia and relevant payment legislation.
  • Proficiency in interpreting drawings, design briefs, estimating, and procurement processes.
