Our client is a well-known educational institution in the heart of CBD.

About the Role

As an Executive Assistant, you will be a key member of the executive team supporting the CEO with a range of high-level duties and responsibilities.

Duties
  • Provide high-level executive support to the CEO, including diary management, briefings, meeting papers, and other administrative tasks.
  • Act as the primary point of contact for internal and external communications to the Office of the CEO and President.
  • Prepare meeting agendas, record minutes, track actions, and distribute materials as needed.
  • Manage organization-wide projects and events.
  • Coordinate travel arrangements for the CEO, ensuring compliance with policies.
  • Supervise and support the Executive Support Officer to ensure the effective operation of the office.
  • Develop and maintain operational policies and procedures.
  • Collaborate with the Governance Manager to prepare timely reports for the Board.
  • Monitor the budget and financial planning.
  • Conduct research, provide advice, and prepare reports as required.
  • Support the fortnightly board including preparation of papers, minute-taking, and action tracking.
  • Assist with quarterly meetings, including organising venues, catering, and presentations.
  • Provide guidance to Executive Assistants and Department Coordinators.

Please note this is a temporary role until May 2024.

Skills & Experience
  • 4+ years' experience working as an Executive Assistant supporting C-suite executives
  • Expert proficiency in Microsoft Suite, particularly SharePoint.
  • Exceptional verbal and written communication skills with strong interpersonal abilities.
  • Demonstrated ability to work autonomously and manage time effectively.
  • Meticulous attention to detail and strong problem-solving skills.
  • Approachable, personable, flexible and dynamic personality with the ability to work with conflicting personalities with conflicting schedules.
