About the Role
The Conference Programming Team produce the SXSW Sydney conference program. This involves producing, managing, and curating hundreds of inspiring, creative, and forward-thinking sessions, attracting the brightest minds in the world.
A vital role within the Conference Programming team, the Program Producer supports the vision and execution of the overall SXSW Sydney conference program, including its format and strategy. This involves producing, managing, and curating hundreds of inspiring, creative, and forward-thinking sessions, attracting the brightest minds in the world.
Working closely with the Head of Conference Programming and other team members, a crucial aspect of your role as Program Producer is to help manage and deliver select conference tracks, as well as specific elements of the conference program.Your efforts will ensure a full program of brilliant talks, workshops, panels, and networking events.
Requirements
What does a day in the life look like?- Support the Head of Conference Programming in all aspects of the program, developing innovative multi-day programming and managing, curating and delivering a diverse program of talks, formats, and events.
- Act as a track lead across multiple conference topics, responsible for the curation, communications and management of all sessions within your tracks, including leading the delivery of sessions via Session Select.
- Support the speaker selection process, including pitching and researching speakers, curating sessions, and shaping conference submissions.
- Build a comprehensive database of potential speakers, including existing and new contacts.
- Conduct outreach to speakers, agents, and other networks to secure speakers, as well as research topics, speakers, and themes.
- Assist with communications to speakers and their representatives, as well as drafting and maintaining speaker documentation and processes.
- Liaise with industry and academic advisors to develop a comprehensive program of sessions.
- Contribute to the overall conference format and program strategy, supporting the onboarding and communications of track evaluators, advisors, and speakers.
- Build meeting agendas, take meeting notes, schedule meetings, update marketing copy, and handle other ad hoc tasks.
- Coordinate the participation of internal and external stakeholders, such as partners, community organisations, VIPs, and venues.
- Provide conference programming support to the Senior Leadership Team if required.
- Work with various applications including Awards Force, LoadIn, Monday, Fillout, OneDrive, Microsoft Teams, and Outlook.
- Prepare programming department reports and presentations.
- Produce or brief speakers and moderators to shape the conversation.
- Hold calls with speakers and their representatives, ensuring follow-through.
- Schedule speaker sessions in a timely manner, adjusting schedules as conflicts arise.
- Make decisions within specific time restraints in a high-pressure environment and be proactive.
- Help collect, create, or co-create speaker assets and other adjunct material across the conference, with a particular focus on marketing timelines, copy, and deliverables.
- Serve as the primary contact overseeing all aspects of conference programming and management of speakers and sessions in your conference tracks.
- Support the Head of Conference Programming and Partners in the curation of sessions and help build partner programming in your tracks.
- Support various aspects of the SXSW Sydney event that directly and indirectly contribute to the program and other requirements that may arise in the building of this powerful event.
About you
Essential Skills and Experience- Proven experience in content curation, programming and producing high impact content such as panels and talks at conferences and events or in related fields such as Media or Journalism (Radio/ TV/Podcasting), communications, marketing, creative or tech industries.
- Excellent written, verbal communication and research skills.
- Ability to curate and drive sessions across multiple themes such as business, leadership, tech, innovation, marketing, media, advertising, sustainability, design, science etc
- Proven experience curating multiple formats such as panels, talks, workshops, networking & professional development content.
- High level of knowledge, interest and ability to digest and research industry trends in order to curate or coordinate forward thinking sessions for conference delegates.
- Proven experience in managing diverse stakeholder relationships and expectations.
- Strong organisational skills with ability to manage multiple priorities simultaneously.
- Demonstrated ability to work under pressure and meet tight deadlines.
- Strong attention to detail and follow-through capabilities.
- Experience with multi-day, multi-track conference programming
- Established network of industry contacts and speakers
- Experience in briefing and coaching speakers/moderators
- Knowledge of SXSW Sydney and SXSW format or similar large-scale conference events
- Experience working with high-profile speakers and their representatives
- Background in content curation across diverse themes/topics
- Experience in a fast-paced creative, media or related industry environment
- Excellent problem solving and analytic skills
- Self-starter, takes initiative and prioritises effectively
- Comfortable driving action when there is ambiguity
- Ability to work quickly and accurately. Also, ability to work well in a fast-paced environment, with conflicting deadlines and multiple projects

- Work outside of normal business hours and on the weekends
