About the Role
The Conference Programming Team produce the SXSW Sydney conference program. This involves producing, managing, and curating hundreds of inspiring, creative, and forward-thinking sessions, attracting the brightest minds in the world.
The Conference Programming Executive is a key member of the Conference team, supporting the Head of Conference and the Conference Team across its diverse program of talks, formats and events, including partnerships, marketing and related conference related activities and plays a key role in scheduling the conference program.
Requirements
What does a day in the life look like?
Conference Scheduling & Programming- Support the scheduling of the conference program in the lead-up to the event and on site, including responsibility for scheduling all conference sessions via Internal systems (LoadIn / Monday/ Event App), and coordinating changes.
- Assist in Conference Program development, conduct research and produce relevant content areas, supporting the Conference Producers.
- Support the scheduling & logistics for relevant content across Tech & Innovation, Music, Screen & Games Festival programming and Public Programming.
- Support scheduling & logistics for Partner Programming within conference.
- Coordinate select events such as Webinars, mentor sessions, book signings, SXSW Sydney Studio schedule + affiliate partner events
- Assist in building schedules, call sheets and briefs for speakers and collaborate with Conference Producers in managing logistics for speakers and other talent.
- Support marketing activities across the conference such as collecting speaker assets, updating changes, building blogs or preparing social media content / assets.
- Manage the conference inboxes and address all incoming conference enquiries, including schedule updates.
- Liaise with SXSW Sydney departments (Partnerships, Marketing, Operations and Festivals) to ensure clear event scheduling and resource allocation.
- Be the key contact for all Loadin enquiries, working with Project Management to action all updates / changes to conference schedule or program details.
- Collaborate with Music, Screen and Games Festival Programming to align processes for Professional Development content.
- Serve as a support contact for Partnerships, Production, and Marketing for logistical matters relating to the conference.
- Attend regular Programming and other relevant meetings.
- Prepare and manage meetings, internal reporting/presentations, and assist in managing calendars, travel, expenses (via Concur), and other conference administrative tasks.
- Prepare and circulate schedules, weekly KPIs, and other reporting materials.
- Assist in monitoring and updating budget for speaker travel.
- Attend occasional meetings, training sessions, and other events outside normal working hours.
- Support speaker accreditation and conference team accreditation.
- Undertake other duties as reasonably required.
- Assist in speaker registration and management, providing clear communication to speakers and their representatives.
- Key onsite contact for Loadin, Event App and other conference schedule updates.
- Work directly with SXSW Sydney staff, venue staff, and volunteers to ensure smooth transitions between sessions and activities.
- Attend and contribute to event related briefings, taking place on the weekend prior to event with long days during event week.
- Troubleshoot unexpected issues, solve problems, and serve as a point of contact for any speaker-related issues.
- Manage day-of-event activities, including schedule management, some stage management, and client/venue liaison as required.
About you
Essential Skills and Experience- Worked in a similar position or equivalent experience desirable

- Excellent problem-solving skills
- Strong stakeholder and project management skills
- Proficiency across platforms such as Excel and ability to pick up new platforms quickly.
- Good communication and listening skills, with ability to quickly develop strong relationships and instant rapport
- Excellent planning and organising skills
- Ability to work well in a fast-paced environment, with conflicting deadlines and multiple projects
- Ability to communicate and work effectively with a variety of internal and external stakeholders
- A background in event management or equivalent industries such as communications, creative industries, marketing, administration, or related fields would be beneficial.
- High level of personal and professional integrity and confidentiality.
- Ability to think strategically, analyse problems and issues, respond creatively and translate/ implement strategy into results
- Possess the intellect, cultural competency and flexibility to work effectively in a collaborative, values-driven and energetic team.
Key Considerations:
This role requires you to:
- Work outside of normal business hours and on the weekends closer to the event
- Spend extended periods of time on your feet at events (event week only)
