Job Description
Your Role:As a Service Coordinator, you'll manage service repairs, maintenance contracts, and scheduling for our service partners. Your responsibilities include handling our ticket system, invoicing for service work, and managing the warranty process.
Key Responsibilities:General Functions:
- Manage incoming service calls and emails
- Coordinate with QA department to ensure compliance
- Follow international ticket system procedures
- Coordinate maintenance and repair work with service partners
- Provide quotes for equipment breakdowns and repairs
Maintenance Contracts:
- Respond to customer requests and ensure service faults are fixed per agreements
- Analyse data and recommend operational improvements
- Schedule maintenance contracts and ensure timely completion
- Liaise with service partners to ensure compliance with maintenance agreements
- Maintain a database of Maintenance Contracts
Customer Service and Support:
- Provide basic technical support via phone and email
- Handle customer service inquiries and complaints
- Arrange training seminars and product demonstrations with service partners
- Stay updated on technical issues and service developments
Administration:
- Generate and reconcile customer and service partner invoices
- Ensure service partners have updated contracts and technical information
- Maintain service partner consignment stock
- Compile monthly national activity reports
- Maintain accurate databases of service issues and partners
OHS and Quality Improvement:
- Contribute to a safe working environment
- Comply with company policies and procedures
- Support company quality systems and recommend process improvements

What We're Looking For:
- Experience in a similar role
- SAP and HVAC experience highly desirable
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Strong analytic and problem-solving skills
- Excellent communication skills (written and verbal)
- Ability to prioritise, plan, and organise effectively
- Detail-oriented and customer-focused
- Ability to work autonomously and communicate with cross-functional teams
