PRIMARY OBJECTIVE

To provide high quality, comprehensive administrative and project delivery support across all facets of business systems and information

management to aid the Operational Technology (OT) function to deliver on its objectives and effective liaison across the Corporation.

KEY RESPONSIBILITIES

The “WHAT” to be delivered
  • Provide administrative and secretariat support to the Senior Manager Operational Technology and to the OT function, including managing and

coordinating diaries, scheduling meetings, agenda and minute preparation, meeting support and venue arrangements, drafting of

correspondence and documentation in a professional and timely manner.
  • Perform works delivery and project support functions including raising purchase requisitions, purchase orders and timely and accurate payment
of invoices within relevant financial and procurement legislation using the corporate asset and financial systems.
  • Provide contract administration functions, tracking expenditure against contracts and conducting planning for procurement activities.
  • Provide advice and oversight to ensure governance and compliance with Power and Water Corporation’s Procurement Framework and
Procurement Rules.
  • Apply procurement processes and prepare documentation to ensure compliance with relevant procedures and guidelines especially when

raising requisitions for capital Items, personal protective equipment, operational requirements and panel and period contracts as well as raising

and monitoring sundry debtor invoices.
  • Establish, update and maintain an accurate and secure filing and retrieval system using electronic document management system.
  • Support recruiting managers with the recruitment process ensuring that the correct process is followed and all related documentation is stored
appropriately.
  • Manage travel arrangements and bookings for the OT function and other teams if requested using the Corporate travel system.
  • Facilitate the timely submission of timesheets across members of the OT function to ensure accurate cost allocation with the asset management
system and record and track extra duty allowance.
  • Assist with induction, training and mentoring of the OT function in required corporate functions and systems, coordinate workflow within the
administration area and provide backup and assistance for other Business Unit functions as requested.
  • Deliver continuous improvement to the operation and efficiency of administrative aspects of the OT function.
  • Manage and maintain a OT software licence register and ensure all OT licenses are captured in the ICT software licences and are renewed in
accordance with software licencing agreements and in a timely manner.
  • Assist in monitoring key performance indicators such as for safety and coordinating corporate processes for OT, including recording of safety
inspections and audits in corporate systems.
  • Collaborate with other business stakeholders and management coordinators to ensure consistent approach and achieve business outcomes.
