About the Role
The Head of Production and Logistics is responsible for overseeing and managing all production and logistical elements of live entertainment events. This senior role will ensure the smooth coordination of technical, creative, and logistical aspects of events from planning to execution.
The Head of Production and Logistics also plays a key role in budget development, cost-saving initiatives, and ensuring compliance with company policies. This role requires exceptional leadership, organizational, and problem-solving skills, as well as a deep understanding of live entertainment production and logistics.
Requirements
Production Leadership:
- Lead the production and logistics teams in the successful execution of live entertainment events, including concerts, theater performances, festivals, and corporate events.
- Develop and manage detailed production schedules and timelines to ensure all production activities are completed on time and within budget.
- Work closely with creative teams, clients, and artists to understand and implement event vision and technical requirements (lighting, sound, video, staging, etc.).
- Oversee on-site production activities, ensuring efficient setup, execution, and teardown of events, and ensure all safety protocols are adhered to.
Logistics Coordination:
- Manage all logistics related to live events, including the transportation, storage, and installation of equipment, props, sets, and materials.
- Coordinate with vendors, suppliers, and contractors to ensure the timely delivery of all production resources.
- Oversee the logistical aspects of venue setup, including parking, stage placement, equipment placement, and crew accommodations.
- Ensure the efficient management of event-related resources, such as securing permits, licenses, and insurance coverage.
Budget & Cost Management:
- Lead the development of production budget estimates, ensuring all aspects of production are accounted for and delivered within financial constraints.
- Actively seek cost-saving opportunities, such as exploring tech substitutions and optimizing resource allocation.
- Monitor budget expenditure throughout the production process and provide regular financial updates to senior management.
- Oversee the procurement process in accordance with company policies and financial guidelines.
Team Management & Oversight:
- Manage the external production managers' "panel," allocating appropriate production managers (PMs) to tours and events based on their skill set and experience.
- Ensure external production managers are executing efficient and timely production planning, from pre-production through to post-event.
- Mentor, guide, and upskill internal project managers on the technical and logistical aspects of live event production.
- Ensure production and logistics teams work cohesively, communicating clearly and effectively to ensure seamless event execution.
Production Management of Select Tours:
- Production manage select high-profile or complex tours as needed, ensuring smooth execution across all logistical and technical elements.
- Oversee all aspects of the tour’s production, ensuring each stop meets the event’s technical and creative goals.
Risk Management & Safety Compliance:
- Develop and implement risk management and safety plans, ensuring all production activities comply with health, safety, and industry regulations.
- Ensure the safe execution of events, overseeing crowd control and emergency response protocols.
- Ensure all team members, contractors, and vendors comply with safety standards and best practices.
Client & Stakeholder Communication:
- Serve as the primary point of contact for clients, stakeholders, and external teams, ensuring expectations are met and any challenges are addressed promptly.
- Regularly update clients and senior leadership on the progress of event production and logistics.
- Gather post-event feedback from clients and stakeholders, reviewing successes and areas for improvement.
Post-Event Evaluation:
- Oversee the teardown and post-event logistics, ensuring that all equipment and materials are returned, and event locations are cleared.
- Conduct post-event evaluations and debriefs with the team, clients, and stakeholders to assess production and logistical outcomes.
About You:
What are we looking for?- Bachelor's degree in Event Production, Logistics, Theater Arts, or a related field, or equivalent practical experience.
- 8+ years of experience in live event production and logistics, with at least 3-5 years in a senior leadership or management role.
- Certification in Event Production, Project Management, or a related field (e.g., PMP, CMP).
- Experience with union labor rules, contract negotiation, and vendor management.
- Knowledge of specialized production equipment and tools.
- Previous experience working in music festivals, theater, or large-scale corporate events.
- Strong organizational, time management, and problem-solving skills.
- Excellent leadership and team management abilities.
- In-depth knowledge of live entertainment production technologies, including lighting, sound, rigging, and staging.
- Proven experience in coordinating logistics, including transportation, venue setup, and resource management.
- Ability to multitask and manage multiple moving parts in high-pressure environments.
- Proficiency in event management software, Microsoft Office Suite, and production-related tools.
- Excellent communication skills, both written and verbal.
- The position involves working in a dynamic, fast-paced environment, often under tight deadlines.
- Ability to adapt to changing situations and solve problems on the spot is crucial to the role.
