About the Role:We are seeking a skilled and experienced Office Manager to organize, oversee, and manage the administrative operations of our business. This role is critical in ensuring the smooth and efficient functioning of our office and involves a range of administrative, financial, and organizational responsibilities.
Key Responsibilities:
Overseeing and coordinating the office's administrative systems, procedures, and activities to ensure smooth operations.
Establishing and reviewing office policies, systems, and procedures to meet organizational needs.
Supervising and managing clerical and administrative staff, assigning tasks, and ensuring adherence to schedules.
Preparing and managing office budgets, monitoring expenditure, and ensuring cost efficiency.
Maintaining accurate records and managing correspondence, including preparing reports and documentation as required.
Ensuring the maintenance of office supplies and equipment, and coordinating repairs or replacements as necessary.
Acting as a liaison between the office and external stakeholders, including clients, suppliers, and regulatory bodies.
Planning and overseeing office layouts, relocations, and workspaces to ensure optimal functionality.
Coordinating meetings, appointments, and schedules, and managing travel arrangements for staff as needed.
Ensuring compliance with organizational policies and relevant legal and regulatory requirements.
Helping to plan cruise activities and ensure their smooth execution.
Managing roster planning and implementation for the entire business.
Monitoring staffing throughout the day, allocating breaks, and sending home surplus workers as necessary.
Managing stop-sell daily bookings with the reservations team.
Checking imports from Tanda and finalizing weekly payroll adjustments in Xero.
Sending payroll summaries to management for approval and payment.
Managing Maxial system updates and addressing any issues.
Setting up new employees in Tanda.
Preparing financial reports for AMI.
Ordering and mailing stationary, fish food, beverages, and other regularly purchased consumables and supplies in accordance with our purchasing policy.
Taking imagery and video for social media purposes.
Skills, Qualifications, and Experience Required:
A qualification in business administration, management, or a related field is highly desirable.
Minimum of 2 years of experience in a similar Office Manager or administrative leadership role.
Strong organizational, problem-solving, and multitasking abilities.
Excellent interpersonal and communication skills to effectively liaise with team members and external stakeholders.
Proficiency in using office software and systems, including Microsoft Office Suite.
A demonstrated ability to lead and motivate a team to achieve objectives.
Attention to detail and the ability to manage priorities effectively in a fast-paced environment.
