MAIN DUTIES/RESPONSIBILITIES FOR CLIENT SERVICES OFFICER

  • Check / clear voice mail messages
  • Answer incoming calls – process client orders
  • Contact regular call list clients
  • Process, check & prepare for mailing TLC brochures
  • Maintain TLC client files – ensure comments / details are current & relevant
  • Prepare & mail client birthday cards
  • Send correspondence to clients pertaining to such matters as a request to set-up a direct debit facility, a copy of a receipt etc
  • Record care Organisation authorities onto TLC’s computer operating system outlining in detail their requirements and filing a hard copy in
office filing cabinet
  • Undertake any additional tasks assigned by the General Manager or CEO or any member of the Management Team.

SKILLS & EXPERIENCE

Qualifications: Business Administration or similar course qualifications preferred.

Experience: At least 3 years’ experience in an office administration role would be advantageous.

  • Very sound communication skills (both written & oral)
  • Excellent customer service skills
  • Planning, organising & scheduling skills re own workflow
  • Ability to analyse and resolve problems/issues – critical thinking
  • Sound computer skills
  • Attention to detail and accuracy required
  • Time management skills & the ability to prioritise workload
  • Ability to work as part of a team (i.e. teamwork)
PERFORMANCE GOALS:
  • Answer all calls with a smile
  • Ensure calls are picked up before 3 rings
  • Complete call lists in an accurate and timely manner
  • Deal with clients, suppliers and other employees professionally and respectfully at all times
  • Ensure office is clean and presentable at all times
  • Work in a positive and inclusive manner providing support and assistance to team members when needed
