POSITION SUMMARY: We are looking for a Project Coordinator for an onsite position based in Sydney, Australia.

The Program Coordinator is responsible for program management of the Device Loan and Seeding program for ANZ, across several Groups. A critical element of this role is to assist sellers in the request and return process for their clients, twice-annual stock take activity at supplier warehouse, and monthly program reporting.

It also requires stakeholder management across the organisation.

Responsibilities:

  • Daily management of loan and seed requests, extensions and returns
  • Ensure loan / seed request adherence to program guardrails
  • Co-ordinate and conduct twice annual stock-takes at vendor warehouse(s)
  • Assist Device sales teams to educate on request and return processes and help unblock issues
  • Coordinate and manage weekly supplier reviews
  • Admin Management:
  • Manage mailbox and folders
  • Maintain SharePoint site for the Program, including links, and how to processes
  • Manage disposal / recycling / donation of old assets
  • Assist Device Program Manager on updating process documentation
  • Complete upload templates for new assets
  • Manage vendor admin catalogue
  • Reporting:
  • Perform ongoing reconciliation between the assets ordered for the Evaluation Program, and the assets added into the vendor inventory tool and investigate and resolve any variances
  • Run monthly stock on hand reports

Qualifications:

  • Strong verbal and communication skills – clear and succinct
  • Proven stakeholder management
  • Strong attention to detail
  • Proven ability to produce clear & effective documentation
  • Ability to manage high volume workload and ability to ruthlessly prioritise
  • Can work independently or as part of a team
  • Self-starter with natural drive
  • Curious learner
  • Data and analytical skills for reporting and insights
  • Proficient use of excel – must know how to run pivot reports, vlook up etc.
  • This role would suit an admin superstar, Executive Assistant, operations coordinator or someone with previous program and/or event management experience.
  • Experience in tech is a bonus.
  • Australia citizen priority, or at least permanent residence
  • Full time base in Microsoft Sydney office
