Task & Responsibilities Duties and Responsibilities of an Office Manager Oversee Daily Operations : Manage the general office functions to ensure smooth operation. Customer Service : Welcome visitors, handle a high volume of incoming calls, and deliver excellent service to clients and customers.
Schedule Management : Coordinate meetings, appointments, and manage staff calendars effectively. Leadership and Supervision : Supervise, mentor, and train office staff while delegating tasks to maximize productivity. Travel Coordination : Arrange domestic and international travel, including flights, accommodations, and transportation.
Procurement and Stock Management : Purchase office supplies and equipment, ensuring adequate stock levels. Documentation and Reports : Prepare reports, draft correspondence, and create new contracts. Facilities Management : Act as the main contact for tasks like maintenance, mailing, supplies, equipment, bills, and general errands.
Office Organization : Plan the office layout, order necessary equipment, and coordinate repairs. Policy Management : Collaborate with HR to update and implement office policies. Process Optimization : Organize office operations and procedures to enhance efficiency.
Equipment Coordination : Work with the IT department to ensure proper functioning of all office equipment. Financial Management : Handle contracts, negotiate prices with vendors, ensure timely payments, and manage the office budget. Visitor Support : Provide general assistance to guests and visitors.
Employee Support : Help onboard new hires and address staff queries related to office management. Vendor Liaison : Coordinate with facility vendors for cleaning, catering, and security services. Event Planning : Organize in-house or off-site activities like parties, celebrations, and conferences.
Health and Safety Compliance : Ensure adherence to occupational health and safety regulations. Regulatory Compliance : Verify that all work aligns with relevant government legislation, policies, and procedures. Personnel Management : Coordinate tasks related to hiring, promotions, performance reviews, payroll, training, and supervision.

Qualification & Experience Proven experience as an Office Manager, Front Office Manager or Administrative Assistant Knowledge of Office Administrator responsibilities, systems and procedures Proficiency in MS Office (MS Excel and MS Outlook, in particular) Hands on experience with office machines (e.g. fax machines and printers) Familiarity with email scheduling tools, like Email Scheduler and Boomerang Excellent time management skills and ability to multi-task and prioritize work Attention to detail and problem-solving skills Excellent written and verbal communication skills Strong organizational and planning skills in a fast-paced environment A creative mind with an ability to suggest improvements Diploma in Management About Company Barreltech has been a trusted name in the industry for over 18 years, known for its extensive experience and commitment to customer satisfaction.
