As we expand our internal capabilities and areas of specialisation, an exciting opportunity has arisen for a meticulous and driven Office Manager to join our NSW team.
As the NSW Office Manager, you’ll be the go-to person who keeps our workplace humming by ensuring everything from facilities to team support runs like clockwork. With a knack for juggling competing priorities and a proactive mindset, you’ll lead the charge in maintaining a welcoming, efficient, and safe environment for our people and visitors.Your days will be dynamic: one moment you might be coordinating onboarding for new starters and making sure desks are set up to perfection, and the next you’re managing travel logistics, supporting senior leaders, or hosting a memorable team event.
You’ll oversee everything from facilities maintenance and budget management to reception and event organisation and coordination - all while ensuring smooth communication and top-notch internal and external service delivery across the board.

Key Responsibilities:
- Proactively manage office services, ensuring smooth operations and the timely resolution of office and facilities-related issues.
- Plan and review office services and processes, setting priorities and standards to enhance operational efficiency.
- Support the onboarding and offboarding process for employees, including assigning desks, updating floor plans, arranging security access, ensuring workstations are set up with the necessary IT equipment and stationery before commencement and conducting office orientations.
- Oversee office equipment and supplies, ensuring regular maintenance and stock management.
- Assist with supplier setup, invoice processing, and accounts management as required.
- Ensure compliance with occupational health and safety regulations, working with the NSW EHSQ Manager to maintain safety standards and ensure the required qualified first aid officers and fire wardens are in place.
- Monitor and manage the office facilities budget, reporting on trends and ensuring cost-effective resource use.
- Serve as the primary point of contact for visitors, ensuring a welcoming environment and efficient meeting room management.
- Oversee reception duties, including incoming mail, courier deliveries, and meeting room setup.
- Coordinate office maintenance and repairs, ensuring a tidy and functional workplace for employees and visitors.
- Provide comprehensive administrative and secretarial support to the NSW leadership team, ensuring effective communication and coordination.
- Manage the NSW State Manager’s calendar and emails, including scheduling, prioritising, and adjusting appointments to accommodate changing priorities.
- Coordinate all aspects of travel, meetings, and events, including bookings, logistics, and preparation of materials.
- Assist in document preparation, including formatting and proofreading tenders, proposals, and presentations, ensuring accuracy and professionalism.
- Plan, coordinate, and execute internal and external events, liaising with vendors, managing budgets, and ensuring events meet corporate standards.
- Oversee event logistics, ensuring seamless execution from concept through to post-event review and feedback.
- Oversee the management and distribution of branded apparel for employees, ensuring stock levels are maintained and orders are processed efficiently.
If you are the right person for this role, you will possess the following attributes:
- A minimum of 3 years of experience in a similar role, demonstrating a track record of competence, discretion, and reliability. Your experience will equip you with the skills needed to effectively manage the complexities of office management in a dynamic environment.
- Experience in the construction industry is desirable but not essential. What’s more important is your ability to adapt quickly to new industries, demonstrating versatility and a proactive approach to learning and navigating diverse professional environments.
