The Role

We are seeking a talented and highly motivated individual to assist in contract administration methods, practices and procedures for our Clarke Creek Wind Farm project.

Key responsibilities:

  • Assist In contract negotiations and contract drafting, as required, including participating in contract reviews and negotiations.
  • Responsible for all timely downstream contract administration including reviewing payment claims, liaising with the wider Delivery Team in the assessment of payment claims and direct liaison with contractors / suppliers and appropriate timely issue of payment schedules/certificates (to maintain full SOPA compliance).
  • Assist in the preparation of upstream progress claims for projects and general sales invoicing for projects to ensure timely submission of invoicing and minimise WIP balances.
  • Ensure payment and variation registers/schedules are appropriately structured and updated at all times.
  • Assist in the administration of all contracts and ensure contracts registers and contracts filling systems are updated at all times.
  • Produce contract related correspondence, to support the wider team in the issue of notifications, formal responses, claims, etc.
  • Produce/assist with contractual claims and variations as required.
  • Take all adequate steps to avoid disputes.
  • Produce and/or assist in estimating with guidance on costings and commercial matters, including the provision of commercial schedules for tender submissions.
  • Monitor and review financial data related to contract performance, forecasts, labour, and variation costs, expected Gross Margin and profits and report any discrepancies as they arise.
  • Assist with reporting and processing monthly cost recording.
  • Ensure full awareness of all ongoing site activities and provide assessments of those activities on the overall project. This will require:
  • Regular visits to site to verify subcontractor performance and to verify contract adherence.
  • Close liaison with site team to ensure any issues are managed in accordance with the various contract requirements.
  • Identify and communicate back to the management team, any work activities that are potentially outside of the contracted scope.
  • Undertake quantity surveying activities to identify and quantify changes and delays affecting the Project.
  • Liaise with the project team to determine status of activities and follow-up on outstanding action items.
  • Collate, review, submit and store documentation at all times in regard for reporting and claims.
  • Assist with procurement across the board and maintain the project procurement register.
  • Ensure that stakeholder requirements and project risks are adequately addressed, including reviewing and updating management of contractual risks and critical issues related to the project/assigned packages.

About you

You will have:

  • Minimum of 4 years’ experience in complex construction projects, ideally within the renewable energy, wind, utilities, oil and gas, mining, or other complex infrastructure sectors.
  • Bachelor’s degree in Quantity Surveying, Legal, Contract/Commercial Management, Engineering, Construction Management or Project Management.
  • MRICS (or equivalent) or working towards accreditation preferred but not essential.
  • Experience in involvement with complex major contracts, variation, and extension of time claims, with well-developed contract management experience.
  • Understanding of a variety of contract types with the ability to deal with stakeholders at all levels.
  • Excellent written and oral communication skills with the ability to help influence outcomes. Strong interpersonal skills with the ability to engage and negotiate with stakeholders on different levels.
  • High level of accuracy and attention to detail.
  • Self-motivated and action orientated.
  • Ability to prioritise activities according to changing needs in a dynamic environment.
  • High-level organisation skills including well-developed priority-setting skills and the ability to meet deadlines with good time-management skills.
  • Proven ability to exercise independent judgement and problem solving with the ability to resolve and address issues as they arise.
  • A current Australian driver’s licence.
