About the Role

We are seeking a warm, organised, and professional Receptionist to be the welcoming face and first point of contact for our Bacchus Marsh office. This is a vital role within our team, ensuring clients feel valued from the moment they walk through our door or make contact by phone.

You will provide essential administrative support to our accounting team and contribute to the smooth daily operations of the office.

Key Responsibilities

Client Services & Front Desk
  • Greet all clients and visitors warmly and professionally upon arrival
  • Manage incoming telephone calls, directing enquiries to the appropriate team member
  • Respond to general client enquiries via phone, email, and in person
  • Schedule, confirm, and manage client appointments using practice management software
  • Ensure the reception area and meeting rooms are tidy, professional, and well-presented at all times
Administrative Support
  • Manage incoming and outgoing correspondence, mail, and couriers
  • Prepare, scan, file, and maintain client documents and records in accordance with firm procedures
  • Assist with data entry and updating client information in the firm's database
  • Process and receipt client payments as required
  • Order and maintain office supplies and stationery
  • Prepare meeting rooms including arranging refreshments for client meetings
Team Support
  • Provide general administrative support to accountants and the management team
  • Assist with preparation and collation of documentation for client tax returns and financial reports
  • Support onboarding of new clients and maintenance of client engagement letters
  • Assist with firm marketing activities including social media updates and client communications as required
  • ATO and ASIC compliance and Invoicing

Essential
  • Previous experience in a receptionist, administration, or customer-facing role
  • Excellent interpersonal and communication skills, both verbal and written
  • Strong organisational skills with the ability to manage competing priorities
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Reliable, punctual, and professional presentation
  • High attention to detail and accuracy
  • Ability to maintain confidentiality and handle sensitive client information with discretion
Desirable
  • Experience in an accounting, legal, or professional services environment
  • Familiarity with practice management or accounting software Xero
