About the Role

As the Executive Assistant you will play a key role in supporting the Chair, Board, Executive Director and wider team. This is a hands-on role that requires high-level administrative expertise, excellent organisational skills and the ability to manage multiple priorities.
Key Responsibilities
Board & Secretariat Support- Prepare and distribute Board meeting materials, draft minutes, and manage logistics
- Maintain Board portal, statutory registers, and regulatory documentation
- Ensure compliance with ASIC and ACNC regulatory requirements
- Manage fundraising licenses and statutory correspondence
- Coordinate travel and expenses for the Chair
- Provide high-level administrative support to the Executive Director
- Manage calendars, meetings, and reporting
- Administer bequest and donation processes, ensuring compliance and reporting
- Coordinate team travel, expenses, and financial administration
- Liaise with CEOs and Senior Managers across multiple entities
- Provide governance and administrative support for key meetings and collaboration programs
- Passionate about working for a not-for-profit organisation and its mission
- 8+ years of experience as an Executive Assistant supporting C-Suite and executive teams
- Strong governance and secretariat skills, including Board minutes and compliance
- Advanced proficiency in Microsoft Office with exceptional attention to detail
- Proactive and adaptable
