People & Culture Coordinator

Coordination:

  • Play a lead role in the administration of HRIS system and file management system including management of all employee, contractor and position related data ensuring that information is captured and stored in a logical and efficient manner as well as management of the Learning Library, adding new course and qualifications as required;
  • Draft all contracts for employees and contractors, including variations.
  • Support the People & Culture team in the administration of all aspects of the employment lifecycle (but not limited to) recruitment, induction and onboarding, annual performance and remuneration processes, talent management, learning and development, staff movement and employee exits/terminations.
  • Generate HR data reports for inclusion in Executive committee and board submissions as required.
  • Provide administration support to key projects within the People & Culture team
  • Coordinate annual employee benefits program as well as reward and recognition incentives
  • Monitor the HR inbox, responding directly to queries, seeking advice from and/or escalating to other team members where required.
  • Coordinate invitations and attendance to the Leadership and Culture program
  • Working closely with the Training & Recruitment coordinator and Communications coordinator to support overflow activities and provide coverage during periods of leave.
Team Administration Support
  • Administration and processing of expenses and credit card statements on behalf of GM People & Culture on a monthly basis through expense management system XMPRO.
  • Management of all domestic travel and accommodation arrangements for GM and respective team members.
  • Management of invoices including liaising with external providers in relation to relevant purchases, raising purchase orders and processing invoices in a timely manner for payment when they are received.
  • Supporting the review and improvement of relevant internal processes within the People & Culture team or broader business as identified or required.
  • Organising team events as required such as Christmas lunches, team building events etc;

Corporate Administration:

  • Applying Workplace Health and Safety standards to all business activity and adhere to relevant policies
  • Complying with all policies and government regulations including but not limited to WHSE, aboriginal heritage and land ownership legislation, HR/ER/IR, Finance
  • All other duties as requested.

QUALIFICATIONS / EXPERIENCE

The incumbent will require the following qualifications and experience:

  • Well-developed communication and customer service skills
  • Exceptional organisation skills with a strong attention to detail
  • Experience in the use of HRIS and/or payroll systems
  • Experience undertaking financial administration duties such as processing of invoices and raising purchase orders etc;
  • Use of Microsoft Office applications, Word and PowerPoint, Excel
  • Prior experience working in a HR administration or coordination capacity and dealing with confidential / sensitive information
  • Business Administration IV/Diploma Certificate or equivalent or;
  • Qualifications in the field of Human resources would be well regarded
