Program and Project Administrator / Coordinator - Sydney

Responsibilities:

  • Overall development and management of JMDR’s planning and scheduling systems to support our tender, design, and construction delivery teams
  • Developing, reviewing, and negotiating variations to contracts, programs & projects.
  • Responding to inquiries and resolving problems concerning contracts, programs, projects, services provided, and persons affected.
  • Managing paperwork associated with contracts, programs& projects.
  • Work with the Project Management Team to undertake and manage the monthly updating of programs and schedules for tender, design and construction projects to ensure that goals are met.
  • Advising senior management on matters requiring attention and implementing their decisions
  • Overseeing work by contractors and reporting on variations to work orders
  • Preparing and reviewing submissions and reports concerning the organisation's activities
  • Collecting and analysing data associated with projects undertaken, and reporting on project outcomes
  • Review and develop streamlined planning processes and procedures aligned with the business requirements
  • Provide specialist leadership in the design, development, review, and approval of project and program schedules with design and construction teams
  • Maintain periodic reporting on schedule compliance and deviations using standard PM methodologies
  • Establish and management of programs and schedules in both MS Project and
  • Primavera P6 PPM Version 18 (or very similar)
  • Consistently review the planning processes and procedures on a regular basis in line with business requirements
  • Mentor and oversee training of JMDR staff in the use of P6 to develop further internal programming capability.

Knowledge / Experience Requirements:

  • Strong leadership skills and be capable of working with our management and project teams to ensure program and planning requirements are developed and maintained throughout the delivery life cycle of our projects
  • Experience working on MS Project and Primavera P6 PPM Version 18 (orvery similar) programming systems will be an added advantage.
  • Experience in managing, coaching and developing planning and scheduling teams and team members.
  • Experience leading organisational change and establishing new ways of working with programs and schedules.
  • Project-based experience within the rail, transport, construction, mining and resources, or engineering industries
  • Strong communications and ability to communicate at all levels including translating technical info to non-technical audience and vice versa.
  • Ability to build relationships quickly, influence & negotiate.
