You will be joining a very high-performing small team that is extremely motivated in a fast-paced manufacturing and distribution environment wherein you will be the main person responsible for assessing contract terms, administering purchase agreements, and overseeing contract execution to ensure compliance with regulatory and operational requirements.
Key Responsibilities
Work closely with the Sales and Project Management teams: o Preparation of office workflow documentation including task distribution and resource allocation.
o Responsible for office administration and contract management policies.o Develop a deep understanding of primary contract aims, clauses, and compliance implications.
o Manage and administer supply chain contracts pertaining to office and warehouse operations to ensure alignment with company policies and legal frameworks.
o Coordinate customer requirements internally, ensuring accurate communication with the team, and verify that completed work aligns with customer orders.
o Manage internal compliance checklists for contract adherence.
Review sales proposals, quotes, job requests and sales orders: o Evaluating copies of sales quotes, contract proposals, and job requests
o Conduct cost-benefit analysis for project-based contractso Assist to manage contractual disputes, document payment discrepancies, and liaise with clients for resolution.
o Oversee contract renewals, amendments, and performance tracking pertaining to office and warehouse operations.
o Responsible for sales and contract variation approval workflow. This includes review and process purchase orders, sales proposals, quotes, job requests, and contract-related sales orders for compliance and accuracy.
o Handle contract budgeting, forecasting, and financial planning pertaining to office and warehouse operations to optimise cost efficiency.
o Evaluate sales quotes, sales proposals, and job requests to support sales contract executions.
o Conduct cost-benefit analyses for project-based contracts and financial impact assessments of contract variations.
Setup new customer profile and execute account application: o Provide contractual-related information to internal stakeholders and clients.
o Maintain and update office workflow documentation, including task distribution and resource allocation for contract administration.o Assist to automate CRM and database processes to improve the accuracy of sales order tracking.
Respond to inquiries, variations & issues concerning contracts:o Ensure vendor relationships are effectively maintained with quarterly checkpoints and keeping a supplier register updated.
o Collect and analyse data, preparing reports for senior management on contract and sales trends.
o Manage database logs of contract changes, order approvals, and supplier records.
o Document workplace safety compliance logs affecting contractor agreements and sales contracts for effective management of resource allocation according to client project timelines.
o Provide recommendations for improving contract administration efficiency.
Manage paperwork associated with contracts and projects: o Responsible for document handling and compliance tracking processes
o Maintaining records of legal compliance records for sales & contract execution via the sales database.
o Implement data protection policies related to contract storage & accesso Assist to conduct risk assessments and identify potential liabilities within contract execution.
o Ensure all contractual paperwork, insurances, and regulatory documentation remain up to date.
o Maintain contract databases, CRM systems, and document registers with a focus on data accuracy.
o Follow the procedure for confidentiality measures and data protection policies related to contract management.
o Monitor contract milestones, deadlines, and compliance tracking to ensure successful execution.
Oversee work by contractors and report variations to orders: o Responsible for schedules detailing deliverables, deadlines and compliance monitoring.
o Record meeting minutes where contract performance, sales orders, and project coordination were discussedo Establish and maintain strong relationships with clients to mitigate risks and enhance contractual outcomes.
o Track vendor and contractor performance and provide evaluation reports.
o Assist with staff rostering and scheduling records which includes management of the roster for the manufacturing team.
Collect and analyse data and report to senior management: o Support continuous improvements in contract administration processes to enhance operational efficiency.
o Coordinate contract terms, scope, and final approvals with senior management.o Generate data reports analysing sales trends and contract efficiency.
Qualifications, Skills & Experience- Highly motivated and proactive approach to contract management.
- Previous experience in contract administration, procurement, or supply chain management.
- Educational qualification in Business, Law, Sales, or Project Management.
- Strong analytical and negotiation skills for managing contract terms and risk assessments.
- Intermediate to advanced Microsoft Office proficiency.
- Excellent communication, organisation, and time management skills.
- Experience using CRM and contract management systems preferred.
