POSITION OVERVIEW
The Office Manager plays a pivotal role in ensuring the smooth and efficient operation of Melbourne Building Management's office. This position is responsible for organizing, controlling, and coordinating both the strategic and operational aspects of our facilities management services.
The Office Manager will oversee administrative functions, support facility management teams, and ensure effective communication between staff, management, and clients.
KEY RESPONSIBILITIESAdministrative Management: Oversee daily office operations, ensuring a productive and organized work environment.
Manage office supplies inventory and place orders as necessary.Coordinate and schedule meetings, appointments, and travel arrangements for management.
Handle incoming and outgoing communications, including emails, phone calls, and correspondence.
Facilities Coordination: Collaborate with facility management teams to ensure seamless service delivery.
Monitor and maintain records of maintenance schedules, inspections, and compliance activities.Assist in the preparation and management of budgets related to office and facility operations.
Human Resources Support:
Assist in recruitment processes, including posting job advertisements, screening candidates, and coordinating interviews.
Maintain employee records and handle onboarding processes for new hires.
Coordinate staff training and development programs.
Financial Administration: Manage invoicing, billing, and expense tracking.
Assist in the preparation of financial reports and budgets.Ensure timely payment of invoices and manage relationships with vendors and service providers.
Customer and Tenant Relations: Serve as a point of contact for residents and tenants regarding office-related inquiries.
Address and resolve issues related to parcels, common property, and other resident concerns.Foster positive relationships with clients to ensure high levels of satisfaction and retention.
Compliance and Reporting: Ensure all office and facility operations comply with relevant laws, regulations, and company policies.
Prepare and submit regular reports on office activities, facility management performance, and other key metrics.
REQUIREMENTS: Australian Citizens and Permanent Residents are encouraged to apply.
Bachelor’s Degree in Business Administration or a related field.Minimum of 1 year of experience in office administration, or a related role.
Experience in building management or property management is highly desirable.
Exceptional ability to manage multiple tasks and prioritize effectively.
Strong verbal and written communication abilities.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and familiar with property management software.
Ability to identify issues and implement effective solutions promptly.
Ability to work collaboratively with diverse teams and build positive relationships with clients and stakeholders.
Meticulous approach to managing administrative tasks and maintaining accurate records.
Strong understanding of facilities and property management principles.
Ability to work independently and take initiative.
