The Bid Coordinator plays a crucial role in supporting the preparation and submission of high-quality, competitive bids and proposals. Working closely with the Solutions Engineering team, Sales team, Bid manager, subject matter experts, and wider teams, the Bid Coordinator ensures all deadlines are met, documentation is accurate and compliant, and the submission process runs smoothly.
Responsibilities:
- Work closely with Bid Manager, sales team and solution engineers to develop compelling and compliant bids
- Record meeting minutes, notes and actions for a successful bid
- Coordinate and complete RFP, RFI documentation including security questionnaires to facilitate successful and compliant bids
- Manage the bid schedule, timelines, and action trackers to ensure deliverables are met
- Development of Bid coordination documentation, prepare forms
- Work with the Head of Solution Engineering to create sales support documentation
- Work with the Bid Manager on maintaining a central library of reusable bid content, standard responses and technical collateral
- Track submitted bids, work with the solution engineering team, sales team on post-submission clarifications, feedback
- Development of content for bids and tenders
- Develop content for tender presentations
- Keeping abreast of industry trends, emerging technologies, and competitive landscape to stay ahead of the curve.
Skills and Experience:
- 1-2 years' experience in bid coordination, within IT or software industry
- Understanding of common IT terminology (SaaS, cybersecurity)
- Exceptional organisational skills, ability to manage competing and concurrent bids, under tight deadlines
- Proficient in Microsoft Office suite of products
- Experience with collaboration tools such as Microsoft Teams and SharePoint
- Strong written and verbal communication skills with attention to detail
- Comfortable working across multiple teams, (technical, sales,)
