Working as a Mailroom Officer, this role will see you utilise your strong attention to detail to sort out and distribute physical mail and electronic correspondence within the IMES service provider. You will have a strong understanding of what defines good customer service.

Working as part of a small team, your reliability is paramount to the successful meeting of contractual KPI’s.

Our Mailroom officers are responsible for receiving, sorting, scanning, indexing, and distributing all physical mail and email correspondence within the IMES service provider in a timely manner, ensuring SLA’s are adhered to.

You will liaise and interact with other internal departments, external departments, couriers from Australia Post (including mail to be lodged) and visitors from other Civica Justice business units.

Ensure correspondence is sorted and prepared to be processed pertaining to other business units (Road Police Enforcement Division, ESS, Sheriff’s Office, and other agencies) and understand the importance of providing accurate document management and compliance as per IMES contract.

Key Responsibilities:

  • Collect, open and date stamp incoming physical mail.
  • Read, sort, and scan all email and physical correspondence to be indexed to create tasks for completion within the agreed time frames.
  • Deliver and pick up ad hoc mail from within the IMES service provider and Traffic Camera Office on a daily basis.
  • Observe and follow risk mitigation process allowing for safe and secure use of the mail room.
  • Prepare mail to be sent via DX, courier, or Australia Post.

Requirements

What you will do to be successful in this role
  • Strong data entry, written and verbal communication and time management skills.
  • Ability to work autonomously on a variety of tasks.
  • Proven ability to follow Policies and Procedures.
  • Previous experience in a mail sorting/distribution facility.
  • Kodak Capture Pro proficiency.
  • Intermediate Microsoft Office applications knowledge.
