Job Description- Answering and directing incoming calls.
- Greeting visitors with a professional and friendly attitude.
- Maintaining a polished and welcoming reception area and boardrooms.
- Managing the coffee machine, including ordering supplies.
- Sorting, stamping, and distributing internal and external mail.
- Monitoring the company email inbox and responding as needed.
- Handling courier bookings and receiving deliveries.
- Assisting with catering orders for meetings and events when required.
- Ensuring meeting rooms and kitchen areas are clean and well-stocked.
- Typing reports, scanning, copying, and collating documents.
- Keeping track of office meetings and staff movements.
- Assisting with tracking subconsultant invoices.
- Monitoring staff timesheets in liaison with the Finance Manager.
- Supporting the team with general administrative tasks as required.
The Successful Applicant
The Successful Candidate Will Have:
- A warm, professional, and friendly communication style.
- Strong organisational skills and attention to detail.
- The ability to multitask and prioritise effectively.
- A proactive and can-do attitude.
- Experience in a receptionist role (preferred but not essential).
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
- The ability to maintain a polished and professional front desk presence.
- A team-oriented mindset with a willingness to assist where needed.
- Strong problem-solving skills and initiative.
- Reliability and a commitment to providing excellent service.
