• Answering and directing incoming calls.
• Greeting visitors with a professional and friendly attitude.
• Maintaining a polished and welcoming reception area and boardrooms.
• Managing the coffee machine, including ordering supplies.
• Sorting, stamping, and distributing internal and external mail.
• Monitoring the company email inbox and responding as needed.
• Handling courier bookings and receiving deliveries.
• Assisting with catering orders for meetings and events when required.
• Ensuring meeting rooms and kitchen areas are clean and well-stocked.
• Typing reports, scanning, copying, and collating documents.
• Keeping track of office meetings and staff movements.
• Assisting with tracking subconsultant invoices.
• Monitoring staff timesheets in liaison with the Finance Manager.
• Supporting the team with general administrative tasks as required.

The Successful Applicant

The Successful Candidate Will Have:

• A warm, professional, and friendly communication style.
• Strong organisational skills and attention to detail.
• The ability to multitask and prioritise effectively.
• A proactive and can-do attitude.
• Experience in a receptionist role (preferred but not essential).
• Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
• The ability to maintain a polished and professional front desk presence.
• A team-oriented mindset with a willingness to assist where needed.
• Strong problem-solving skills and initiative.
• Reliability and a commitment to providing excellent service.
