The Opportunity

We are seeking an enthusiastic, proactive Team Assistant to join our business. This position is suited to someone who is eager to get stuck in and apply their existing skill set by supporting management with a wide range of professional support duties.

By providing administrative support to the CEO and senior management, you will be a highly valued member of the business.

Reporting to the CEO you will offer assistance with diary, inbox and travel management, whilst offering support with the wider team with a range of administrative duties.

Key Responsibilities

Support to the CEO
  • Support the CEO with professional support such as managing their inbox, diary and travel arrangements.
  • Ensure all meetings and appointments are scheduled efficiently and accurately.
  • Monitoring the CEO’s diary throughout the day avoiding cross over or inconsistencies.
  • Assistance and support with administrative tasks such as finance documents, drafting correspondence and industry specific documentation.
Senior Leadership support
  • Support wider senior leadership team with diary management where necessary.
  • Coordinate seamless travel arrangements required for the wider senior management team, ensuring accuracy and schedule transparency.
  • Provide assistance with staff conferences ensuring all necessary equipment and documentation is prepared and accessible.
  • Manage travel bookings, including payments and any reconciliations required.
Office/ Team Assistance
  • Overseeing the operational activities of the team supporting with stock, office and mail maintenance.
  • Ensure all necessary systems are up to date with information/ data inputted whilst being accurate and accessible.
  • Support with the planning, scheduling and execution of events, such as annual events, conferences and Christmas parties.
  • Support with the administrative and logistical requirements of the wider team.
Personal
  • Demonstrate proactiveness and innovativeness with a strong strategic focus.
  • Ability work within a high volume and fast paced environment, managing conflicting schedules.
  • Strong organisational skills with the ability to deliver a high standard of work within specified deadlines.
  • High level of customer service skills and the ability to develop strong working relationships with all team members; based on integrity and professionalism.
  • Demonstrating enthusiasm, flexibility whilst acting as a versatile team player providing support and assistance to the wider team.
  • Timely identification of potential issues whilst utilise office systems and resources to complete tasks efficiently.
What you need to succeed
  • Ability to be proactive to support the executive team and wider business across a range of tasks.
  • Ability to use initiative in a varied, high-volume environment.
  • Eagerness to develop yourself as well as contribute to the success of Permaconn as an organisation.
  • Strong commitment to professionalism, integrity and open communication.
  • Intuition to deliver work on time and to a consistently high standard.
  • Ability to perform as an effective member of a team.
  • Strong interpersonal skills, positive and enthusiastic.
  • Excellent written and verbal communication skills.
Your Experience
  • Strong experience in a Team Assistant or varied Office support role.
  • Preferred experience with supporting at C-suite level however not required.
  • Strong skill set with all Microsoft suit- Excel, word, PowerPoint.
