As part of their ongoing expansion and a specific growth mandate, an opportunity has arisen for an experienced contracts and legal administrator to join the team.
The Role
This will be a highly varied and diverse role, encompassing elements of contract management, customer communications and management with a focus on identifying opportunities for continuous improvement. It will be a key part of a vibrant and busy team with a great culture.
Key Responsibilities will include:
- The management of contract-related matters pertaining to external part agreements including grants, renewals, notations, variations and terminations.
- Acting as a key point of contact for all contract-related matters between the business and prospects, franchisees, legal counsel, and other parties.
- Ongoing preparation and review of franchises, renewals and changes of ownership
- Review and/or prepare general commercial agreements
- Drafting of general and commercial agreements including franchise agreements, supplier contracts, service and non-disclosure agreements
- Responding to prospect, franchisee and stakeholder correspondence in a timely manner and action tasks within timeframes communicated.
- Draft, review and execute key external contracts, ensuring accuracy and compliance to commercial direction, policy framework, relevant laws and regulations.
- Provide regular updates to the leadership team on the status of contracts, upcoming deadlines, and any issues that need attention.
- Contribute to and publish internal activity announcements and communications to stakeholders on key wins, milestones and successes
- Foster positive relations with customers and partners to facilitate ongoing cooperation and ensure successful contract execution.
- Administer contracts within service level requirements to enable network store growth and reduce retention risks.
- Prepare and process customer financial obligations to meet contractual commitments within the specified timeframes.
- Identify potential risks related to contracts and take steps to mitigate them.
- Monitor and respond to contract related enquiries, process contract information and administration, and escalate enquiries where required.
- Prepare, maintain and manage contract, transaction and event repositories (including correspondence, amendments, approvals, variations, special conditions, and financial obligations).
- Assist in the negotiation of contract terms with clients, vendors, and external partners.
- Support the legal team with contract lifecycle management and record-keeping.
- Serve as a key point of contact for external legal communications and correspondence.
- Conduct basic legal research to support contract development and risk analysis.
- Coordinate with internal departments to ensure contract compliance and alignment with business objectives.
- Maintain contract templates and support process improvements.
- Track deadlines, renewals, and deliverables related to contract obligations
- Provide ad-hoc and weekly progress reporting.
Continuous Improvement
In addition to the above, the successful candidate will be tasked with Identifying ways to improve operational efficiency with a focus on utilising digital tools and platforms to streamline workflows, making the contract process more efficient and less time-consuming.
Where possible, they will assist in developing and implementing contract management policies, procedures, assets and documentation to ensure contracts align with the retail divisions strategic goals and objectives.
Your Profile
The successful candidate will be a contracts management specialist, ideally with a legal background or qualification and an interest in making a positive impact in an established and high-performing team.
A can-do person who enjoys a variety of contract-based role which utilises their keen eye for detail, they will be comfortable with a varied and diverse position in which the successful candidate will benefit from a broad tranche of responsibilities across commercial and corporate contracts management.
