About the Role

The Operations Executive is responsible for the operational and production support of the Innovation Expo, comprising of more than 100 brands focusing on the future of technology, entertainment, social impact and beyond.

Reporting to the Operations Manager, the Operations Executive will support on the delivery of the exhibition operational and production elements. Including managing event schedules, critical paths, and briefing documentation, through to engaging suppliers and contractors on AV production, signage, build, theming, freight and logistics, and liaising with venues on F&B, customer services, security, permits and other event related elements.

The Operations Executive will be the main point of contact for all exhibitor communications. Including exhibitor management, manuals, and onboarding, stand inclusions, upgrade options and other deliverables, through to external venue and supplier forms, and custom stand approvals.

The Operations Executive will support and collaborate across the team with a shared vision to deliver the world’s best festival of discovery for the creative industries.

Requirements

What does a day in the life look like?
  • Support the production and implementation of project plans ensuring all operational tasks are carried out on a timely basis according to individual project sprints and within deadlines.
  • Be a key operational contact for exhibitors and partners, supporting them on critical timelines, delivery of agreed terms, and compliance.
  • Collaborate with the Operations Manager to support on the diverse exhibition requirements to facilitate a wide range creative content across the event footprint.
  • Facilitate strong relationships with venues, suppliers and contractors including AV, signage, build, theming, security, freight, logistics, technology infrastructure, and cleaning, to ensure a high standard of event delivery.
  • Communicate with suppliers and support on the scope, brief, designs, production and other creative elements in co-ordination with the wider operations team and sponsors.
  • Support the delivery of event plans through to onsite execution with all exhibitors, contractors, and venues
  • Become a trusted partner of SXSW Sydney internal and external stakeholders with regular engagement and feedback to build an effective working relationship.
  • Financial oversight of operational costs, in conjunction with the Operations Manager, monitor cost forecasts, invoicing, phasing plans, and potential cost savings.
  • Collaborate with all operations team members to ensure suppliers meet and exceed health and safety requirements, supporting on all onsite activity to ensure compliance
  • Work with operations team colleagues to achieve best practice in terms of operational planning and management.

About you

Essential Skills and Experience
  • Demonstrated track record of operational experience in the event industry and an established record of successfully supporting the delivery of world class exhibitions, conferences, and/or events.
  • Working knowledge of industry, venues and suppliers/contractors.
  • Strong time management and organisational skills; able to problem solve, prioritise and manage several different tasks at the same time
  • Demonstrated ability to work independently, to meet deadlines consistently and operate within budgetary targets
  • Solid communication skills, experience managing exhibitor and supplier relationships
Desirable Skills and Experience
  • Exposure to exhibition sales
  • Project management software, including Monday.com, DocuSign, or other
  • AutoCAD software (or similar)
  • Exposure to commercial negotiations
  • Creative!

Key Considerations:

This role requires you to:

  • Work outside of normal business hours and on the weekends closer to the event
  • Spend extended periods of time on your feet at events (event week only)
