Salary: $140,000 plus superannuation
Duties and Skills:- Undertake tasks in accordance with the Integrated Management System and established Limits of Authority.
- Assist Site Foremen, Managers, and Project Managers with administrative duties, including setting up and maintaining drawing and document registers, distributing documents, and managing project-specific records.
- Attend site meetings and project control group meetings as required, take and distribute minutes, and monitor project progress to ensure timely completion of pre-completion activities and secure necessary certificates.
- File all project-related documentation appropriately, oversee site diary entries, and manage procurement and subcontractor documentation.
- Obtain and issue shop drawings, samples for approval, and prepare operation and maintenance manuals, along with as-built documentation to meet client or head contract requirements.
- Prepare procurement schedules in alignment with project timelines, identify suitable subcontractors, and ensure balance between cost, quality, and compliance.
- Issue trade tender packages, conduct evaluations, and negotiate subcontractor agreements while ensuring compliance with prequalification processes.
- Manage subcontractor claims, variations, securities, and RFIs, maintaining communication and documentation records.
- Administer all functions under the head contract, including variation submissions, delay notifications, extensions of time, and practical completion notices, ensuring compliance with contract requirements.
- Prepare progress claims, invoices, and all necessary supporting documentation while liaising with clients to finalize claim values.
- Ensure cost control procedures are maintained, identify cost-saving opportunities, and prepare monthly cost reports for project reviews.
- Finalize accounts within a month of project completion, adhering to company policies.
- Review work procedures and design details for compliance and efficiency.
- Maintain quality control registers and assist with the closeout of project defects.
- Promote positive stakeholder relationships by fostering mutual trust and maintaining regular communication, upholding the company’s values of professionalism and collaboration.
- Comply with all safety policies, environmental procedures, and relevant regulations.
- Actively participate in company initiatives, team-building activities, and programs aimed at driving change and improving the construction industry culture.
Job Requirements:
- Formal qualifications in Building, Construction, Engineering, or Property / Project Management
- Sound experience as a Project Coordinator / Cadet within the Construction Industry.
- Working experience in MS Project, Excel, Word and Adobe Acrobat are essential, experience in Procore is desirable.
- Effective communication and interpersonal skills.
- Ability to work independently and as part of a team.
- Minimum 3 years of experience
