Description:

This rare and exciting full-time Program Manager role is responsible for overseeing the end-to-end coordination and delivery of international volunteer and immersion programs in the context of a young adult ministry of the Australian Jesuits.

Your role will be to focus on ensuring compliance with legal and organisational requirements while managing logistics such as accommodation, transport, and placements in collaboration with overseas partners. At all times you will be engaged with our mission, which is to nurture and accompany young adults in expressing a Christ-centred desire to love and serve those in need domestically and overseas, sustained by communities that help build a hope-filled future.

Duties/Responsibilities:

  • Review and adjust young adult program itineraries, contracts, and placement agreements to ensure compliance with safeguarding, risk management, and partner requirements.
  • Negotiate and confirm on-the-ground logistics (accommodation, transport, supervision) with overseas partners.
  • Act as the point of contact for parents and guardians, responding to inquiries and resolving concerns during the application, acceptance, and placement stages.
  • Liaise with international partners to troubleshoot and resolve urgent logistical issues, safeguarding matters, or on-site emergencies.
  • Manage the full lifecycle documentation of volunteers and immersion participants, including applications, references, safeguarding clearances, medical forms, insurance, and visas.
  • Verify supporting documentation for compliance with organisational and legal requirements.
  • Work collaboratively with the CEO, Rector, Finance Manager, and staff to achieve program goals and ensure smooth delivery.
  • Coordinate with international partners and project leaders to align placements with community needs and organisational objectives.
  • Provide senior leadership with reports and feedback from young adult volunteers, parents, and partners.
  • Monitor and liaise with service providers (insurance companies, travel agents, accommodation providers) to ensure quality and contractual compliance.
  • Prepare program schedules, cost breakdowns, and placement booklets for internal and external stakeholders.
  • Provide operational input into resource planning, office use during volunteer training, and facilities needed for program delivery.
Experience Required: At least 1 year of relevant work experience in program or project management

Qualification/s Required: Diploma or higher qualification in Project Management, Management, Arts

Skills Required:
  • Ability to plan and undertake administration of organisational programs, special projects and support services.
  • Ability to liaise with service providers and all relevant parties to ensure quality and contractual compliance.
  • Ability to review contracts and negotiate any variations required for services required by or provided by the organisation.
  • Ability to resolve urgent logistical issues with any given program based on enquiries from international partners, volunteers, or their parents and guardians, during the application and placement stages.
  • Ability to prepare reports and submissions on the organisation’s activities based on analysis of data collected throughout programs.
  • Ability to collaborate effectively with senior management including the CEO, rector and finance manager to ensure effective decisions are implemented on key organisational matters and issues.
