The Role:

We are seeking a talented and highly motivated Executive Assistant to provide executive support primarily to the CFO, as well as to the Executive General Manager, Commercial and occasionally to the wider Commercial and Corporate functions. The role involves comprehensive diary management, interaction with various stakeholders, approvals prioritisation, meeting logistics, travel and expense management, and administrative support for regulatory and compliance tasks.

Responsibilities include:

  • Provide general administrative executive support including diary management, expense management, travel, and general executive administrative duties for primarily the Chief Financial Officer, as well as the Commercial function, and from time-to-time, the broader Corporate Executive team.
  • Oversee the coordination of executive meetings, including organising room bookings, logistics, and preparing detailed agendas and comprehensive meeting materials.
  • Provide high-level support during meetings, including taking minutes, tracking action items, and following up to ensure accountability and progress.
  • Act as the primary liaison between the CFO, Executive General Managers, and internal/external stakeholders, facilitating effective communication and ensuring timely and accurate information flow.
  • Prioritise and manage the CFO's approval pipeline, ensuring timely review and sign-off on essential documents and tasks.
  • Lead the coordination of travel arrangements for the CFO and from time-to-time the other Executives, including booking flights, accommodations, and ground transportation, and managing any potential travel disruptions.
  • Oversee expense management, ensuring timely and accurate reimbursement using advanced financial tools like Concur.
  • Collaborate closely with the wider administration community within Squadron Energy and the Tattarang group to ensure cohesive and effective administrative support across the organisation.
  • Proactively support the CFO and Commercial functions with the development and refinement of documentation and processes related to regulatory compliance.
  • Foster a culture of continuous improvement within the administrative functions, promoting innovative solutions and best practices.
  • Adapt to shifting priorities and demands, demonstrating agility and providing consistent, high-level support to the CFO and wider team.
Requirements
  • Extensive profession experience as an Executive Assistant / Personal Assistant.
  • Confident proficiency across the Microsoft Office suite.
  • Demonstrated ability to handle sensitive information with discretion and confidentiality.
  • Exceptional verbal engagement and telephone manner with experience engaging effectively at an executive level.
  • Ability to work autonomously with a high level of organisation and manage executive relationships remotely.
  • Exceptional stakeholder management skills - across both internal and external stakeholders, and the ability to facilitate engagement across the business.
  • Highly developed written and oral communication skills.
  • Excellent attention to detail.
  • High-level organisation skills including well-developed priority-setting skills and the ability to meet deadlines.
  • Ability to prioritise effectively while working under pressure.
  • Tertiary qualifications in administration or related field and/or appropriate experience to deliver the requirements of the role.
