The opportunity.

We are looking for a Regional Facilities Coordinator to manage the offices in the APAC region including Melbourne, Sydney, Singapore, Japan and Kuala Lumpur and will report into the Global Facilities Manager. Please note, this will be a 4 day working week!

You will manage the offices and stakeholders across APAC; you’ll need to be hands-on with a breadth and depth of Facilities experience.

You’ll be in your element working in a fast-paced, customer and people first culture, where you can make a real impact on the lives of our colleagues and the future of Quantexa.

What you'll be doing.
  • Manage all access requirements across APAC offices
  • Reporting any maintenance issues to building management
  • Organise team activities and social events
  • Manage and coordinate office supplies, equipment, and services
  • Act as the first point of contact for all H&S matters including first aid, fire, risk assessments
  • Liaise with external vendors and suppliers
  • Coordinate with cross-functional teams in HR, IT, and Finance
  • Support internal communication across APAC offices and ensure employees are informed about key office information and updates
  • Collaborate with the Finance team to process office-related invoices and vendor payments
  • Onboard new vendors where necessary using our procurement system
  • Collate all post sent to the offices and ensure they have been scanned to finance and relevant teams
  • Point of contact/cover for global queries in the absence of Global Facilities Manager (within your working hours).

Requirements

What you'll bring.
  • Experience in Facilities or Office Management
  • High-level of attention to detail
  • Excellent analytical and problem-solving skills
  • Exceptional communication skills with the ability to foster strong people relationships
  • Ability to be flexible and comfortable in a fast-moving results-orientated environment
  • Self-motivated and proactive, with the ability to work on own initiative and offer new ideas
  • Strong team-working skills and a desire to be part of and contribute to the success of a fast-growing organisation
  • Certain experience in Health and Safety
  • Excellent time management and multitasking skills
  • Organisational skills and the ability to prioritise a busy workload
