Synergy Learning and Therapy is located in Caboolture South / North Brisbane and is now seeking a committed and experienced part-time Front Desk Administration officer to join a long-established allied health and creative therapy clinic. This role is a dynamic one as the right applicant is the front line for our business and fulfils an important and flexible support services role for our clients.

We have previously been a paediatric clinic but are moving towards a clinic for adults as well. Internal office training is included but we are also after a self-sufficient applicant with at least a basic understanding of clinic coordination and administrative functions.

Duties and Responsibilities: Reception
  • Answering incoming phone calls and assisting with client and provider enquiries including emails
  • Greeting clients on entry to the clinic and interacting with them to resolve any administration issues
  • Diary management and scheduling of client bookings (Power Diary)
  • Pastoral care / setting up of internal telehealth links to externally located therapists
Administration
  • Billing / invoice management of client accounts (Xero)
  • Liaising with Medicare, private health funds, NDIS and Plan Managers, medical professionals (internal and external) and other external stakeholders
  • Some clinical and marketing aspects to the roles
  • Experience in using scheduling app Power Diary (bonus but easy to learn), Word, Outlook and Excel
  • Administrative support to the therapy teams
  • Scanning and data management
  • Maintaining confidentiality and adhering to all legislation and processes
  • Working through complicated requests and problem solving
Skills and Experience
  • Previous Experience in a medical / therapy clinic
  • Exceptional communication and customer service skills
  • Strong organisational and time management skills
  • Ability to multitask, troubleshoot and problem solve
  • Willingness to assimilate into a productive team environment
  • Excellent written and verbal communication skills
  • A vigilant attention to detail
  • Ability to prioritize tasks and manage multiple duties
  • Friendly, professional, empathetic and courteous nature
  • Ability to work harmoniously as part of a team and also autonomously
  • Common sense, flexibility and a sense of humour!
We would love…
  • Cert 3 in Medical Administration or equivalent or previous experience in front desk coordination in an Allied Health clinic
  • Knowledge of NDIS, billing practices, codes...
  • Blue Card or eligibility
Hours

Part time hours are negotiable but we are open Monday to Friday 8:30 - 5 pm and Saturdays (8:30 - 2:30pm only).

Wages
Negotiable for the right applicant (a probationary period applies).

Our deadline for applications is 30th September with interviews the following week and an almost immediate start in early to mid October.

Job Types: Part-time, Casual
Pay: $25.00 – $35.00 per hour
Expected hours: 4 – 15 per week

Schedule:

  • Day shift
  • Monday to Friday
  • Weekend availability

Ability to commute/relocate:

  • Caboolture, QLD: Reliably commute or planning to relocate before starting work (Required)
